Responsible for full cycle Accounts Payable: Vendor Master Maintenance, invoice analysis/data entry, and payment processing.

Duties & Responsibilities

· Internal and external customer service

· Facilitate daily invoice processing through invoice receipt, sorting by due date, analyze invoices charges, and timely payment to avoid late charges

· Daily processing of vendor invoices/credits/refunds/voids in KB Quattro in a timely and accurate manner

· Prepare monthly accruals to ensure timely and accurate financial reporting

· Preparation of weekly EFT/cheque runs in Great Plains and distribution of cheques/remittances; resolve any EFT issues

· Vendor usage analysis, balance forward reconciliations, and panel status verification (use of macros for large consolidated accounts)

· Integration/Importing of payables from KB Quattro to Great Plains

· Validate payment set up/maintenance for proper taxes and panels set up for all hydro and digital telecom accounts

· Request and maintain tax exemption forms & validated tax numbers to CRA for all lessors/vendors

· Monitor status of invoices/payments to ensure they are not aging/stale dated

· Manage AP mailbox and workflow for approval.

· Transition hydro billings to consolidated and electronic billings

· Internal audit of lease set up for completeness and accuracy

· Continuously search for opportunities to strengthen internal controls, improve processes & reduce rework

· Provide back-up to other Payable team members as required

· Assist with any other duties or special projects assigned by management


· Strong customer service and communication skills (oral and written)

· Analytical nature

· Must be detail oriented and well organized


· Strong data entry (efficient and accurate) for high volume environment

· 3 years minimum of related experience

· Advanced Excel skills – must be comfortable with PivotTables, VLOOKUP

· Able to work overtime during month end/year end close if needed
